How Much Does Gym Management Software Cost in 2026?

There's no single answer — it depends on the pricing model

Gym management software vendors don't all charge the same way, which is why "how much does it cost" searches turn up such a wide range of numbers. Most fall into one of three models:

Flat member-count tiers: you pay a fixed monthly price for a tier that covers up to N members, regardless of staff count or location. Trakzfit, Gymdesk, and GymMaster work this way.
Per-location pricing: the price is quoted per gym location, so a two-location operator pays roughly double. Wodify and Mindbody are priced this way.
Free-to-start with paid processing: the software itself is free or near-free, but the vendor makes revenue on card-processing fees layered on top of every transaction. PushPress's Core tier is the clearest example of this model.

Comparing a $0/mo "free" plan against a $99/mo flat-tier plan without accounting for processing fees is comparing two different things — the free plan usually costs more in the long run once transaction volume is high enough.

Typical monthly price ranges by gym size

Small studio (under 100 members): roughly $29–$99/month across the market. Entry tiers here rarely include QR/kiosk check-in or advanced reporting — those usually start at the next tier up.

Growing gym (100–400 members): roughly $100–$230/month, or per-location pricing in the same range if you're on a per-site model. This is where most vendors' feature sets fill out — retail POS, staff permissions, analytics.

Large gym or multi-location (400+ members or 2+ locations): $200–$400+/month, frequently moving to custom/quote-based pricing once you're past the largest published tier.

Real published pricing, most recently checked in July 2026 — always confirm current numbers on the vendor's own pricing page before deciding, since software pricing changes:

Trakzfit: Basic $29/mo (100 members), Standard $59/mo (300 members), Professional $99/mo (1,000 members), Enterprise custom. One flat price per gym, no per-location multiplier, no processing fees.

Gymdesk: tiered by active-member count — $75/mo (≤50 members) up to $200/mo (201–400 members), Enterprise by quote. All tiers include the full feature set regardless of price.

GymMaster: priced per site — Foundation $89/mo (≤100 members) up to Professional $209/mo (≤1,300 members), Enterprise by quote. Hardware (RFID fobs, door readers) and a branded app ($150/mo + $450 setup) are billed separately.

Wodify: all three tiers listed at a promotional $79/mo per location (list price $179/mo) as of July 2026 — confirm the current rate, since this was tied to a time-limited offer. Payment processing runs 2.6%+25¢ per card transaction on top.

Mindbody: Starter "from $99/mo per location" is the only publicly listed price; higher tiers are quote-only.

Zen Planner: Studio "from $99/mo," tiered by active-member count. Add-ons stack up quickly — Engage marketing automation is $249/mo, a branded app is $39/mo, EMV payment hardware is $39/mo.

PushPress: Core is free with processing at 4.99%+30¢ per card transaction; Core Pro is $159/mo with lower processing (2.89%+30¢); Core Max is $229/mo. Add-ons like Train ($79/mo) and Grow ($329/mo) are separate.

Glofox: Essential "from $99/mo"; Boost and Elite pricing isn't publicly listed — expect a sales call for anything beyond the entry tier.

The hidden costs that change the real number

Payment processing fees: if a vendor's software price looks unusually low, check whether they make it up on card-processing percentages — this can add up to more than the subscription fee itself at higher transaction volumes.

Per-location multipliers: a $99/mo "starting price" on a per-location vendor becomes $297/mo the moment you open a third location. Flat member-count pricing doesn't have this problem.

Branded apps and marketing add-ons: several vendors charge $39–$329/mo extra for a branded mobile app or marketing-automation tooling that some competitors bundle into the base price.

Setup and hardware fees: RFID readers, door hardware, and one-time setup charges (seen as high as $450 in published pricing) aren't part of the advertised monthly number.

Contract terms: most vendors above advertise month-to-month billing, but a few pricing pages reference "annual contracts available upon request" in language that's ambiguous about whether that's optional or a hidden default — read the actual terms, not just the price line.

Don't compare headline numbers alone. Work out the real monthly cost at your actual member count and location count, add in any processing fees at your expected transaction volume, and add any add-ons you'd genuinely use (branded app, marketing automation, hardware). The vendor with the lowest advertised price isn't always the cheapest once your gym's real usage is factored in — and the vendor with the highest advertised price sometimes includes everything the "cheaper" option charges extra for.
